If you use the Services on behalf of a company or other organization, you represent that you are authorized to do so. If you are an end user interacting with a business that uses TeleWizard, your information may be processed by TeleWizard on that business’s behalf.

TeleWizard’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements, where applicable.

  1. Scope and Roles

    TeleWizard may act either as a controller or as a processor/service provider depending on the context. We act as a controller for information we collect about website visitors, leads, prospects, event attendees, account administrators, billing contacts, job applicants, and others who interact directly with us for our own business purposes.

    We act as a processor or service provider when we process personal information on behalf of a customer that uses TeleWizard in its business operations, such as customer communications, call handling, messaging, scheduling, workflow automation, and related services. In those cases, our processing is governed by our agreement with the customer, and requests relating to that information should generally be directed to the customer first.

  2. Information We Collect

    We collect information you provide directly to us, information collected automatically when you use the Services, information we receive from integrations and service providers, and information we process on behalf of customers.

    • Contact information, such as your name, email address, phone number, company name, job title, and mailing address.
    • Account information, such as login credentials, account identifiers, profile information, preferences, and administrator settings.
    • Billing and transaction information, such as billing contact details, payment-related records, invoice details, and subscription information.
    • Communications and support information, such as messages you send to us, support tickets, feedback, survey responses, and call or meeting notes.
    • Information you upload or submit to the Services, such as prompts, knowledge-base content, documents, workflow settings, call scripts, contact lists, appointment instructions, and other content you choose to provide.
    • Recruiting information if you apply for a role with us, such as resume details, work history, references, and related materials.
    Information We Collect Automatically
    • Device and browser information, such as IP address, browser type, operating system, device identifiers, language, and approximate location derived from IP address.
    • Usage information, such as pages viewed, referring URLs, links clicked, timestamps, session activity, feature usage, and error or diagnostic logs.

    Information From Integrations and Connected Services

    If you connect third-party systems to TeleWizard, we may receive information from those systems in order to provide the requested functionality. Examples may include calendars, CRM systems, helpdesk tools, telephony providers, messaging providers, scheduling platforms, payment tools, email providers, and other business software that you choose to connect.

    Customer Data We Process on Behalf of Customers

    Our customers may use TeleWizard to process information about their own callers, leads, clients, patients, customers, contacts, staff, vendors, or other end users. This may include names, phone numbers, email addresses, scheduling details, call recordings, messages, transcripts, notes, case or matter details, and other data that the customer chooses to process through the Services.

  3. How We Use Information

    We use personal information for the following business and commercial purposes, as applicable:

    • To provide, operate, maintain, support, and improve the Services.
    • To create and manage accounts, authenticate users, and protect account security.
    • To process payments, subscriptions, billing, credits, invoices, and account administration.
    • To provide customer support, respond to requests, troubleshoot issues, and communicate with you about the Services.
    • To enable AI-powered communication workflows, scheduling, routing, messaging, integrations, and other requested functionality.
    • To monitor performance, security, service quality, reliability, and abuse prevention.
    • To detect, investigate, prevent, and address fraud, misuse, unlawful activity, policy violations, and security incidents.
    • To send technical notices, administrative messages, service announcements, support messages, security alerts, and policy updates.
    • To market and promote our Services where permitted by law, subject to your communication preferences.
    • To comply with legal obligations, resolve disputes, enforce agreements, and protect rights, safety, and property.
  4. Text Messaging and OTP Privacy

    If you provide your mobile number to TeleWizard for account verification, password reset, login authentication, or other account-security features, we may send you transactional text messages such as one-time passwords, verification codes, and security alerts.

    Message frequency varies depending on your account activity and the actions you request. Message and data rates may apply. Reply HELP for help and STOP to opt out. Carriers are not liable for delayed or undelivered messages.

    We use your mobile number and related messaging data to deliver and administer these transactional messages, maintain message records, detect abuse, and support account security.

    No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

  5. Calls, Recordings, Transcripts, and AI Processing

    Depending on how the Services are configured by TeleWizard or by a customer using TeleWizard, the Services may process calls, voicemails, messages, recordings, transcripts, summaries, notes, scheduling details, and related communication metadata in order to provide the requested functionality.

    Where customers enable recording, transcription, summarization, routing, or similar features, TeleWizard may use third-party subprocessors to help provide those features, subject to contractual and operational controls. Customers are responsible for determining whether they need to provide call-recording or similar notices and obtain any required consents under applicable law.

    TeleWizard does not use customer communication content for advertising. If a subprocessor is contractually permitted to retain or use limited service data for support, troubleshooting, abuse prevention, or model improvement, such processing will be subject to that provider’s applicable terms, the controls available for the relevant service, and our agreements with that provider. Where opt-out, zero-retention, or similar controls are available and enabled, processing will be limited accordingly.

    TeleWizard and its authorized service providers may access, review, monitor, and analyze calls, recordings, transcripts, call logs, summaries, notes, messages, and related metadata for customer support, onboarding, quality assurance, troubleshooting, fraud prevention, abuse prevention, billing review, legal compliance, enforcement of our agreements, and service improvement, subject to applicable law and our contractual obligations.

  6. Google User Data and Google API Services

    If you connect Google services to TeleWizard, we may access and process Google user data such as calendar events, event metadata, availability information, and related account data necessary to provide scheduling, appointment management, calendar synchronization, and other requested user-facing features.

    We use Google user data only for the purposes disclosed in this Privacy Policy and in any related in-product disclosures. We do not use Google user data for advertising, and we do not sell Google user data.

    We store and protect Google user data using reasonable technical and organizational safeguards. We retain Google user data only for as long as necessary to provide the relevant functionality, comply with legal obligations, resolve disputes, enforce agreements, and maintain appropriate backups and security records.

    You may revoke TeleWizard’s access to your Google account through your Google account settings or by disconnecting the integration within TeleWizard, subject to any data we are required or permitted to retain under applicable law or contract.

    We may share personal information in the following circumstances:

    • Service providers and subprocessors: with vendors that provide hosting, infrastructure, analytics, customer support, communications, payment processing, security, monitoring, transcription, messaging, telephony, scheduling, integration, and similar services on our behalf.

    • Customers and account administrators: where we process information on behalf of a customer, or where an account owner or administrator needs access to account-level data and user activity.

    • Business transfers: in connection with a merger, financing, acquisition, reorganization, sale of assets, or similar transaction.
    • Legal, compliance, and protection purposes: where required by law or where reasonably necessary to protect rights, safety, property, security, or the integrity of the Services.
